Job Description

This high profile, prime central London Estate Agency has an enviable reputation and market share. The company is currently looking to recruit a Tenancy Management Assistant for their highly successful Lettings Department.

This role will involve the following duties and responsibilities:

  • Working within the Tenancy Management team (4 people) in the Lettings Department
  • Progressing new deals including contract negotiation
  • Typing of general correspondence including offer letters, tenancy agreements, references, instruction letters, invoices
  • Organising check-ins/check-outs
  • Dealing with queries and liaising with both Landlords and Tenants
  • Collating information and typing reports for Estate and portfolio landlords
  • Working directly with the Renewals Manager on renewals/terminations, typing renewal and termination paperwork.
  • Daily Tenancy Tasks (e.g. serving section 21 notices, expiry letters, chasing return of paperwork)
  • Photocopying (i.e. maintaining adequate supplies of lettings lists, terms and conditions of business, welcome packs)
  • Filing and file management
  • General administration and secretarial duties
  • Switchboard relief when necessary and help generally during emergencies
  • General diary maintenance
  • General telephone work
  • Franking post
  • Maintaining dead filing on/off site

To be considered for this role you will need the following qualities:

  • Organised and efficient
  • Good at time management as this is a busy role often working to rigorous deadlines
  • Precise and good attention to detail – very important as sending out legal documentation
  • General secretarial skills (must be secretarially trained)
  • Good communication skills – not scared to pick up the phone
  • An excellent knowledge of Microsoft Office – including Word, Excel, basic Access and Outlook
  • Keen to learn
  • Team player – the department all work together and help each other out
  • This is not a purely secretarial role – you can make as much of job as possible so must be able to look “outside the box” and go “the extra mile”
  • Must not mind mucking in
  • Must be prepared to take the ARLA exams if not already qualified

This is a Monday to Friday role and will come with a basic salary of c. £30,000 plus benefits depending on the level of expertise and experience of the successful candidate.
