This very well established organisation specialises in providing exclusive luxury apartments for the short or long term visitor to London, be they companies requiring a prestigious base or senior executives looking for a family home. The company is currently looking to recruit a Team Administrator who will report in to the Lettings Manager and provide administrative support to the Lettings and Property teams in a range of duties.

The duties and responsibilities of this role will include:

Operational Planning and Management:

  • Answering the telephone and dealing with any client / applicant / tenant queries promptly and professionally. Taking messages where necessary and passing them on to the relevant person within the team
  • Responsible for updating telephone directory
  • Responsible for the maintenance of the office machinery and telephone lines, including reporting faults and updating colleagues accordingly
  • Responsible for incoming and outgoing mail, including managing the franking machine
  • Preparing and dispatching outgoing (and internal) correspondence
  • Responsible for preparing commercial leases, assignments, renewals, rent reviews and scanning of such documents. Ensuring that the Accounts Team is informed of any rent reviews or new leases in good time
  • Responsible for managing the process of the Fair rent registration of Statutory Tenants rent. This includes preparing application forms and other documentation for signature from Property Director and sending documentation to Valuation office and tracking the progress until completion
  • Overseeing Deposit Protection Service (DPS) processes carried out by the Letting and Account Teams. Preparing newly registered deposits into batches for fund transfer to the DPS and updating Account Team
  • Informing the Utility Companies and Accounts Team, in writing, of changes to occupier details in respect of Gas, Electricity, Council Tax and Water Rates
  • Liaising with Building Superintendent to book viewings and update viewings log
  • Maintaining a weekly record of all new tenancies and vacations
  • Updating apartment availability lists and arranging the distribution as required
  • Update portals, Rightmove and Zoopla, daily
  • Maintaining the filing system as required and ensuring that all correspondence is promptly and correctly filed
  • Maintenance of Public Liability Insurance folder
  • Ordering of office provisions, including stationary
  • Responsible for ordering stock and making up of tenant welcome bags
  • Organising office related functions and preparing, as required refreshments for visitors
  • Matching receipts to invoices, ready for authorisation

Skill Requirements:                                                           

  • Good working knowledge of Microsoft Office software and willingness to learn new software packages
  • Experience of updating portals and/or websites
  • Good business writing skills – grammar, punctuation and spelling
  • Excellent communication skills
  • Excellent approach to customer service / client care
  • Attention to detail
  • Excellent time management skills
  • Preferably educated to A’ Level standard

The successful candidate will be rewarded with a basic salary of between £24,000 and £27,500 pa depending on your level of experience and expertise. This is a Monday to Friday role, where the hours of work are either 09:00 to 17:00 or 09:30 to 17:30. This position is based in their Knightsbridge office.

The benefits will include the following:

After the three month probationary period the company will also provide:
