Job Description

This high profile, prime central London Estate Agency has an enviable reputation and market share. The company is currently looking to recruit a Renewals Administrator for their highly successful Lettings Department. Whilst lettings/property experience would be beneficial, our client is happy to consider someone with no previous background in the industry provided that he/she was a good all round administrator with office experience.

This role will involve the following duties and responsibilities:

  • Working within the Renewals team of 3 people within the Lettings Department
  • Working directly with the Renewals Managers on renewals/terminations, typing renewal and termination paperwork
  • Typing of general correspondence for the Lettings team including tenancy agreements, offer letters/faxes, references, instructions letters, invoices and accounts
  • Organising check-ins/check-outs and liaising with landlords and tenants
  • Daily Tenancy Tasks (eg expiry letters, chasing return of paperwork etc)
  • General diary maintenance
  • General telephone work including liaising with Landlord clients and Tenants as and when required
  • Photocopying (i.e. maintaining adequate supplies of lettings lists, terms and conditions of business, welcome packs)
  • Filing
  • Franking post
  • Maintaining dead filing on/off site
  • General administration work including filing, amending addresses in databases, printing welcome packs and Terms of Business
  • Switchboard relief at lunchtime as required and help generally during emergencies

To be considered for this role you will need the following qualities:

  • Organised and efficient
  • Excellent communication skills
  • Good at time management and able to work in a busy and active environment
  • Precise and attention to detail – very important as sending out legal documentation
  • General secretarial and administrative skills essential
  • An excellent knowledge of Microsoft Office – including Word, Excel, basic Access and Outlook
  • Keen to learn
  • Ability to work to tight deadlines
  • Team player – the department all work together and help each other out
  • This is not a purely secretarial role – you can make as much of job as possible so must be able to look ‘outside the box’ and go ‘the extra mile’
  • Must not mind mucking in
  • Will be encouraged to take the ARLA exams to further knowledge.

This is a Monday to Friday role and will come with a basic salary of c. £30,000 plus benefits depending on the level of expertise and experience of the successful candidate.
