Job Description

Our client is a boutique independent estate agency and is currently looking to recruit an Assistant Operations Manager to join the team in Chelsea. They have a bespoke reputation due to their integrity, transparency and impeccable customer service skills.

The purpose of the Assistant Operations Manager is to assist with the day to day functions of the lettings and property management department, organise management of the lettings portfolio and ensure compliance at all times. The focus of the job is to support the Operations Manager and Lettings Team in all aspects of the lettings process.

It is essential that you have previous experience working for a top-end brand, where you would have been exposed to high-net-worth individuals.

Responsibilities will include:
  • General day to day property maintenance organisation, liaising with tenants, contractors and updating landlords
  • Helping management of larger projects and refurbishment projects
  • Organising property management visits and reporting to landlords
  • Ensuring compliance – renewal of gas safety’s, EPC, EICR, smoke & carbon monoxide
  • Home Blueprint visits – management checks for newly instructed managed properties and creating property files for new properties
  • Helping negotiators with organising pre-tenancy maintenance
  • Finalising files for new tenancies, producing welcome documentation, changeover of utilities
  • Keeping on top of tenancy end dates, in order to write to tenant and landlords about potential renewal/ termination
  • Negotiating renewals and producing paperwork for signature
  • Dealing with terminations, sending out paperwork, organising end of tenancy procedures
  • Dealing with inventory check outs and deposit returns
  • Dealing with other adhoc tenancy changes – ie change of sharer process, surrenders of tenancy, annual rental increases, contractual changes
  • Booking in photos/floorplan and EPC’s for newly instructed properties
  • Creating 3D Tours and window cards
  • File management.
Personal specification:
  • University graduate
  • Experience associated with administrative duties
  • Proficient in Microsoft Office Suite and Outlook
  • Well spoken, able to interact with high/ultra-high net worth clients
  • Good relationship management skills
  • Strong work ethic
  • High level of attention to detail
  • High level of organisation and ability to multitask
  • Ability to learn new skills and problem solve.

The salary will be in the region of £32,000 to £35,000 dependent on previous experience and qualifications.

Working hours are Monday to Friday 9am to 6pm. Benefits include 26 days holiday, plus bank holidays and Xmas-New Year period. You will be joining a fun team environment, and the chance to grow with the business.
