This is a great opportunity for an experienced Secretary or Administrator to join this privately-owned estate agency with an excellent local reputation. Based in Surrey, they have been established for about 20 years and have a high profile office in Surbiton.

The company is now looking to recruit an administrator to support the sales and lettings team:

The requirements for the role:

  • Proficient in Word, Excel, PowerPoint and Outlook
  • Ability to prioritise workload with an attention to detail and willingness to complete projects in a timely and efficient manner
  • Proven organisational skills
  • Good analytical skills
  • A confident and proactive approach to work
  • Excellent telephone manner accompanied by strong interpersonal skills to deal with a wide variety of people and clients
  • Proven ability to work independently with minimal supervision and make decisions when necessary
  • Accurate typing
  • Self-motivated, shows initiative in taking action and responding appropriately
  • Understands and appreciates the importance of using discretion
  • Team player with a positive can do attitude
  • Ability to work under pressure
  • Experience of working in a busy team.

The duties and responsibilities will include:

  • Provide support to the team
  • Creating and compiling rental contracts
  • Producing registration cards, property details and letting lists
  • Using the in-house system and the internet to upload property particulars
  • Attend to emails, mails and messages from clients and colleagues, and telephone liaison; answering and making calls on behalf of the team
  • Daily and efficient office management. Including coordinating diaries/meetings/conference calls
  • General office duties including, maintaining accurate electronic and paper filing, archiving, document scanning and typing of reports, letters, faxes, etc.
  • Developing and maintaining effective working relationships with clients and colleagues
  • Database management
  • Assisting with the design of property brochures
  • Collating information for monthly fees, producing and sending the invoices
  • Assist in organising client events, i.e. lunches and client entertaining
  • Discreet handling of sensitive and confidential information
  • Liaise with internal suppliers
  • Assisting team members with all IT related matters
  • You may be required to undertake other duties from time to time as we may reasonably require

The package on offer will very much depend on the ability and experience of the successful candidate but is likely to be in the region of £22,000 – £23,000.
