Job Description

Our client is currently looking to recruit an experienced administrator capable of covering a role split into two functions. You will be joining a hugely successful and leading independent estate agency, working within the estates management department. You will be responsible for the insurance and subletting administration.

Insurance administrator

The primary function of an insurance administrator is to issue insurance claim forms and administrate their return before sending onto the clients insurers. The position will be to resolve any queries that come from the insurers or the leaseholders making the claim.

It is also the responsibility of the insurance administrator to manage and actively chase up any outstanding claims and to deal with any excesses that may arise. It is vital that the administrator builds and maintains close links with any broker/insurer used by the client.

Quarterly updates will need to be prepared and reviewed by the Operations team.

Duties and responsibilities

  • Updating internal procedures for logging new claims
  • Timely and effective issuing of claims once received
  • Chasing claims up
  • Maintaining contact with leaseholder making the claim
  • Advising the leaseholder of the insurers decision
  • Administrating the excess (if applicable) from any claim
  • Providing information to internal departments, the client and lessees
  • Checking policies do not expire and advising property managers of renewal dates in advance and in a timely manner.

Subletting administrator

The primary function of a subletting administrator is to provide consent for leaseholders to sublet their property and to ensure the costs for such consent is paid. Reporting into a department Director, the position will be to resolve any queries that come from leaseholders currently letting or wishing to let their property.

To manage and actively chase up any leaseholders letting their property and advising the property manager and Operations Team. It is vital that the administrator works with colleagues to assist them with their duties to ensure every block that requires consent to sublet to be made aware and actively chased.

Duties and responsibilities

  • Updating internal procedures for new sublets
  • Timely and effective issuing of license once funds received
  • Chasing leaseholders up who have let their property without consent
  • Maintaining contact with leaseholders applying for consent
  • Advising the leaseholder of any references required and taking instructions from clients
  • Checking individual block leases
  • Providing information to internal departments, the client and lessees

Person Specification

Typical qualities of a successful Insurance and Subletting administrator include:

  • Ability to establish and maintain good client relationships, both internally and externally at all levels
  • Ability to understand a lease and a complex claims
  • Competence in Microsoft Office products, XL and accounting software programmes
  • Prior experience with insurance policies and residential buildings
  • Calm, confident manner to handle potentially uncomfortable conversations

The initial salary package on offer will be from £22,000 to £25,000 dependent on previous experience. The hours of work will be from 9am to 6pm, Monday to Friday.
