Job Description

This well-regarded firm of privately owned Estate Agents has a small, but highly successful network of offices in central west London. They are currently looking to recruit an experienced Tenancy Manager for their office in Bayswater, W2.

This role will involve managing the renewals and terminations process for around 350 files, so you will need to have previous experience working within a similar role, preferably within Central London. The ideal applicant will also be ARLA qualified.

You will also need to have superb organisational and customer service skills, the ability to work under pressure and to deadlines.

The duties of the role will include:

Renewal Process:

Generating all relevant documentation to both Landlord and Tenant in respect of the renewal process of each tenancy and ensuring that all signed contracts are filed within due dates:

  • lease expiry letters
  • serving of statutory notices
  • renewal documentation and contracts
  • updating renewal pipeline (Excel spreadsheet)
  • internal memorandums to accounts and management departments
  • ensuring valid Gas Certificates are in place for each Tenancy
  • ordering Gas Certificates on behalf of clients where instructed to do so in writing by client
  • registering tenants’ deposits with TDS and closing down afterwards to keep subscriptions low

Termination Process:

Generating all relevant documentation to both Landlord and Tenant in respect of the termination of each tenancy:

  • serving notices to quit or the relevant Section 21 notices
  • informing clients immediately notices are served by Tenant
  • informing Lettings Director/Manager where notice is served in order that advice can be given to client on current market value and re-marketing
  • booking inventory check-outs
  • references for outgoing tenants

Dilapidation Process:

  • forwarding inventory check-out reports to both Landlord and Tenant
  • as stakeholders acting as mailbox between Landlord and Tenant in respect of the claim made by Landlord against Tenant’s deposit
  • advising Accounts Department once claim is settled so that monies can be distributed as agreed
  • where necessary dealing with TDS & DPS

New Lets:

  • checking and verifying new tenancy files

General:

  • checking & signing off half-comm invoices
  • ongoing client & tenant liaison in respect of the terms of the tenancy on all live tenancies and where necessary dealing with any variation of terms and creating addenda to the tenancies
  • rent chasing as required
  • booking cleaning for non-managed properties as required
  • maintain and updating the database as necessary (with new LL or TT details, inventories etc)

The salary on offer for this position will be dependent on experience, but will be in the region of £32,000 to £35,000. This is a Monday-Friday, 9am-6pm role.
