This well-established, independent estate agency based in Reading is undoubtedly one of the market leaders in the area. They are currently looking to recruit a Senior Property Manager to work with their Lettings Team.

Job description:

Property Management Support – understand the following processes in order to assist with workload:

  • Prepare new let packs
  • Complete hallmark/utility transfers
  • Provide support with tenant sign ups
  • Deal with inventory check in and check out returns
  • Deal with utility bills received on behalf of landlords
  • Scan and file Terms of Business, tenancy agreements etc and communicate to lettings team
  • Maintain lettings files to ensure documents are clearly organised and labeled
  • Control movement of keys and sign in/out keys to contractors along with tenant keys
  • Arrange for old lettings paperwork/documents to be archived/scanned and stored securely
  • Log payments made from the account on behalf of landlords/tenants
  • Check remittances received from property management accounts team and log reimbursements
  • Put through customer payments on the payment machine where necessary
  • Help to maintain accurate customer records on our property database

Technical Work and Support:

  • Managing Notices – issuing of, responding to notice & transfers of tenancy
  • Managing Tenancy agreement process & documents – standard templates, forming new agreements as required and dealing with specific exception clauses negotiated as required
  • Managing the accounting process for lettings including checking Landlord statements and organizing daily payment runs, reconciliation of Landlord, tenant and the company’s trading accounts
  • Managing Tenant and Landlord disputes that are escalated from our outsource colleagues
  • Block Management project and work for key clients including monthly accounting and procedures
  • Running monthly audit procedures including: suspense account, unreconciled transactions, contractor payments and debtors/arrears
  • Running KPI audit on our Outsourced Property Management Team
  • Ensure all necessary paperwork (including terms of business and ID) is received for new vendors/landlords
  • Auditing and paying non-resident landlord tax for overseas Landlords
  • Keeping fully up-to-date with ARLA compliance and ensuring the company is briefed with the latest legislation and changes to ensure compliance
  • Managing the ARLA annual audit process in conjunction with the company’s accountants
  • Assist the Sales & Marketing Administrator with the organisation of mailouts and other marketing literature

Person specification:

  • Advanced working knowledge of Microsoft Office applications (Outlook/Word/Excel/PowerPoint)
  • Knowledge of the property lettings estate agency industry
  • ARLA qualified (to either Member or Fellow level)
  • Knowledge of block management procedures, processes and legislation
  • Strong interpersonal skills, including excellent written and verbal communication skills
  • Excellent customer service and administrative skills
  • Self-motivated, pro-active and adaptable, with the ability to both methodically follow processes and to work on own initiative
  • Solution-focused team player, with a ‘can-do’ attitude and a professional and flexible approach to working with colleagues
  • Enthusiastic, energetic and driven, with the ability to learn new systems and processes quickly
  • Ability to liaise with clients in a confident and professional manner
  • Ability to handle complex disputes and negotiate successful outcomes and sell these to parties in dispute
  • Ability to multi-task and to remain calm under pressure
  • Experience of dispute resolution
  • Demonstrable experience within a busy property management role at senior level
  • Experience of block management including health & safety issues

This position will come with a basic salary of £20,000-£25,000 with a bonus scheme being introduced. The hours of work will be 8:30am to 5:30pm, Monday to Friday and alternate Saturdays (9am-5pm) with ½ day off in the following week. You will get 20 days’ annual leave (rising to 22 days after two years’ service, then incrementally up to a maximum of 25 days after five years’ service).
