Job Description

This estate agency is one of the most respected estate agencies in the UK. They are currently looking to recruit a Lettings Co-ordinator / Secretary to support their highly successful lettings team in their busy Weybridge office. Although previous property or lettings experience would be preferred, the client is willing to consider candidates without experience, as long as they have transferable skills.

Duties will include;

• Help the HOD with all aspects of running the office and assist the Lettings Negotiators and Property Managers when required
• Aim to answer the telephone within three rings
• Meet and greet visitors to the office in a timely and professional manner
• Liaise with clients in a timely and professional manner
• Comply with Compliance procedures
• Arrange viewings and pitches in a timely and courteous manner and taking adequate details for prospective Landlord and Tenants- to include address, phone number, email and property requirements and ideally to have booked an appointment in the diary with the Landlord/ Tenant/ Applicant
• Ensure that the office is covered at all times by liaising with other team members regarding appointments and lunches
• Aim to respond to incoming emails within 2 hours when in office and ensure “out of office” is on as necessary
• Book photographs and floor plans as needed and requested by the HOD or negotiator
• Visit new instructions ASAP provided there is diary cover
• Ensure that internal and external photos of properties, floor plans and energy performance certificates are received and loaded on the Lettings system
• Ensure property details are drawn up in line with company policy and are compliant
• Prepare property details and ensure constant supply of details available for enquiries.
• Change the window on a regular basis and no less than once a week
• Order window cards and Sprint brochures (where applicable) and requested by the HOD
• Ensure all available properties have Energy Performance Certificates and signed Terms of Business with Landlord ID– follow up on a weekly basis- carry out a weekly audit
• Daily and weekly key audit
• Register applicants on Reapit
• Undertake viewings if required
• Maintain a permanent supply of lettings property lists
• Prepare and maintain a stock of pitch packs
• Prepare and maintain a supply of welcome bags for new tenancies
• Produce accurate tenancy documentation to deadlines and no later than 48 working hours after the formal offer has been agreed and a written offer form given to you by the by the HOD or negotiator
• Chase all tenancy documentation as required by the HOD or negotiator
• Search land registry records on agreed offer and ensure id checks are in place for landlords
• Process reference applications for tenants and ensure id checks are in place
• Ensure all documentation is in place for tenancy commencement
• Arrange / find out the arrangements for all cleaning, all safety checks and check ins in liaison with the landlord and property manager where necessary
• Maintain accurate and up-to-date filing system
• Assist the HOD and/ or negotiator with collating figures and statistics and with preparing reports where necessary
• Check the website weekly and amend as necessary, rotating photographs to keep the properties fresh
• Ensure office windows are up to date (weekly)
• Cross check invoices and prepare for sign off by HOD
• Comply with the terms and conditions of your employment regarding working hours and where required to attend office/ regional meetings
• Maximise all cross selling opportunities within company (SPF,SIS, inter office)
• Follow Health and Safety procedures at all times

In addition to the tasks described above, the job holder may be required to carry out other duties from time to time.

This exciting new role comes with a very competitive salary package, of between £22-27,000, dependent on experience. Hours are Monday to Friday 8:30-6pm, with Saturdays worked on a rota basis but will likely be 1 in 3 Saturdays worked.
