Job Description

Based in Winchester our client is looking to recruit an experienced lettings administrator who can work within an established lettings team.  With over more than 20 years experience our client can offer a professional working environment with an opportunity to progress your career.

Responsibilities include;

NEW TENANCIES

  •  Set up new tenancy files
  • Sending out and chasing in required references
  • Equifax credit checks
  • Preparation of proposed let letters, standing order mandates, insurance information and TDS Brochures
  • Booking inventories
  • Typing and sending out agreements with accompanying letters
  • Setting up sign up packs
  • Signing up new tenants
  • Preparation of Addendums
  • Preparation of fixed and periodic notices
  • Liaising with Landlords and Tenants prior to the tenancy commencement to ensure all parties understand what is required
  • Chasing in all paperwork required from Landlord’s and Tenant’s prior to the tenancy commencement

 END OF TENANCY

  •  Tenancy Termination letters to Landlord and Tenant with applicable enclosures
  • Booking Check Out
  • Photocopying inventories and key signing sheets (one copy to inventory clerk and one copy in termination pack for property manager)
  • Ensuring paperwork is downstairs for collection by the clerk on the day of the checkout

NEW INSTRUCTIONS

  • Preparation of Landlord follow up letters
  • Preparation of Landlord instruction letters and accompanying enclosures
  • Set up new Landlord files

GENERAL/AD HOC

  •  Stationery orders
  • Keeping stationary cupboards tidy
  • Monitoring and ordering of photocopier supplies and maintenance, other general office equipment
  • Typing of standard forms/letters/updating templates/agreements/document maintenance
  • Answering phone
  • Keeping office tidy
  • Mail outs
  • Helping to set up new procedures/company policy folder
  • Reporting and ad hoc administrative tasks/projects
  • Assisting with front office cover
  • Roster preparation – yearly Saturday cover and front office cover
  • Franking of the post and posting of post at the Post Office within the same business day
  • Ensuring Inventory diary at administrators desk is up to date
